Supplier Shortlists
Part of Finding and shortlisting suppliers
Building a supplier shortlist beyond a marketplace search
Find supplier leads through associations, events, recommendations and capability directories, then consolidate and screen distinct options.
Use a marketplace for initial leads, then search other channels for distinct supply options. Industry groups, capability directories, events and recommendations can surface businesses a product-name search misses. Record each lead's source, and do not count repeated listings as separate suppliers.
Search for the capability you need
Search for the material, production process or industry specialism, not only the finished product name. A finished-item search may surface resellers; a capability search may reveal businesses able to discuss a customised version. Use the same brief when approaching leads from different channels.
Australian Government guidance suggests industry events, groups, association databases and recommendations alongside online search. For Australian and New Zealand businesses, the Industry Capability Network offers another route. Gateway says it lists Australian and New Zealand businesses, so it is not a complete route to overseas producers.
Gateway says limited-subscription profiles will not appear on Gateway, and its pricing packages scale with your needs. Treat any visible profile as a lead to check against your brief.
Marketplace Search vs. Capability-Based Search
- Search Focus
- Finished product name
- Risk
- May surface resellers instead of producers
- Alternative Approach
- Search by material, production process or industry specialism
- Benefit
- Reveals businesses capable of customisation
Use introductions as leads
Ask a business that buys a comparable item which supplier it used and for what kind of order. Then make your own enquiry. Experience with a standard item does not establish capability for your customised version or timing.
At an event, ask what the contact supplies, what it makes itself and who should receive the brief. Record a specific follow-up question. A sample on display does not answer what the business can deliver for your order.
Key Actions When Using Introductions as Leads
- Ask a buyer which supplier they usedFor comparable items and order type
- Follow up with your own enquiryDo not assume capability for custom orders
- At events, ask what the business makes itselfAnd who should receive your brief
- Record a specific follow-up questionTo clarify delivery capabilities
- Do not rely on samples on displayThey do not confirm ability to meet your requirements
Consolidate the list
Create one record per proposed supply route, with the business name, contact, discovery channel, claimed capability and apparent seller and producer roles. Merge listings only when you can establish that they refer to the same business. If two sellers may use the same factory, mark that possible dependence until clarified.
For a business with an Australian Business Number, ABN Lookup can show its public registration details and ABN status. Its listed fields do not identify a production site or establish who made a product. The register covers ABN holders, so it will not cover every overseas candidate.
Consolidating Your Supplier List
- Create one record per supply routeInclude business name, contact, discovery channel, claimed capability, and roles (seller/producer)
- Merge listings only if confirmed same businessAvoid double-counting suppliers
- Note possible dependenciesIf two sellers may use the same factory, flag until clarified
- Verify ABN status via ABN LookupCheck public registration details for Australian businesses
Invite comparable first responses
Send the same brief to leads from each channel. Ask what product they propose, any deviations, estimated minimum order, indicative timing, seller and producer roles, and what product-specific information they can provide next. Note whether the answer addresses essential requirements.
Use no fixed shortlist size. Retain distinct candidates that plausibly fit the brief, with an unresolved question beside each. If the apparent alternatives all depend on the same unknown producer or material, search another channel or capability term.
The shortlist should show where each lead came from, why it fits and what still needs establishing. This supports detailed verification and quotations without relying on a marketplace badge or directory profile.
